ABOUT THE ROLE

Our Payroll Administrators work effectively across both Oasis & Warehouse brands to ensure that employees, in both the UK & ROI, are paid accurately, legally and in a timely manner. The successful candidate will be responsible for the following activities across the brands:

  • Open and distribute the post to correct people and departments
  • Enter Retail and Head Office New Starters and Change of Details
  • Resolve telephone and email queries that arise from employees, Stores and Managers in a timely manner
  • Complete manual calculations to adjust payments where necessary
  • Process all leaving details for employees
  • Process tax information from P45, P46 and P6’s
  • Filing and general office duties, including sending out monthly new joiner pension letters; printing and distributing payslips
  • Process and distribute Oasis & Warehouse staff discount cards and reconcile quarterly reports to ensure valid cards reflect the eligibility criteria

Although previous payroll experience is desired, it is not essential! We are just looking for an individual with a passion for payroll that possesses the following key attributes:

Merchandise Admin Assistant

Full-time

We have an exciting opportunity for a dynamic, confident and motivated Merchandiser Admin Assistant to join our product Merchandising team.

ABOUT THE ROLE

  • Manages the intake process on a day-to-day basis, liaising with suppliers, DC contacts, Imports and Buying
  • Ensures the system order is correct and at the right status before the delivery is given permission to ship/air/road
  • Works closely with BAA to ensure production samples are approved before delivery is given permission to ship/air/road
  • Communicates any supplier delivery issues to the AM/Merchandiser
  • Manages intake through the DC until it is available to Allocate, and checks image has gone live on website
  • Prepares weekly range plans with allocation instructions, and leads weekly Distribution meeting with AM/Merchandiser and Distributor
  • Reviews daily sales report and department free stock in conjunction with AM, and works with Distributor to respond to sales reactions
  • Contacts stores on an ad hoc basis to discuss individual style performance, and communicates findings back to the rest of the team
  • Distributes sales reports to the team on a Monday morning in a timely manner, ready for the trade meeting
  • Maintains sales and intake on line cards, and feeds back to the AM/Merchandiser on variances to plan
  • Has an awareness of how to forecast sales
  • Compiles history for use in departmental planning process
  • Completes ongoing analysis for the department in order to maximize future sales and sell through e.g. size analysis, rate of sale, etc
  • Maintains the department line detail, ensuring it is always accurate and up to date
  • Is aware of company and department targets and current trading, and can contribute in a commercial discussion
  • Strong Excel skills coupled with a strong numerical and analytical capability
  • Excellent organizational skills, able to manage own diary and cope with changing priorities to meet deadlines set by the line manager

Distributors are responsible for allocating stock to all channels Warehouse trades in whether it be UK stores, online or our International markets and ensure our product reach the right stores, at the right time and help tailor the product offer in locations to suit the needs of the customer profile. It is an essential role within the business, potentialising sales and driving profit for your departments, stores and the overall Warehouse brand. To succeed in a career in Branch Planning you will need to have a good eye for detail, strong analytical and numerical skills and excellent communication skills.

ABOUT THE ROLE

This role is the first step to a long-term career in Merchandising. In this role you be responsible for the allocation of several departments, maintaining the flow of stock to stores and ensuring that the stock is directed to the store in the right volumes at the right time to meet customer expectations and optimize profitability.

KEY RESPONSIBILITIES

Intake, Allocations & Replenishment

  • Weekly meetings with MAA on departments of responsibility to discuss new product due in & advise on the most appropriate allocation strategy for each style taking into account brand strategy & current trade
  • Reviews brand intake daily & plans workload around booked intake on departments of responsibility by day to ensure all styles are allocated on the day they become available
  • Responsible for managing & resolving any issues that may arise once the stock is ready to allocate, liaising with the International, Digital or Wholesale teams where applicable.
  • Confident in using available data sources to identify intake & when it is free to allocate
  • Plans & executes allocations accurately & in a timely fashion
  • Demonstrates commercial awareness when making allocation decisions
  • Is proactive in managing both FP & MD DC stocks for departments of responsibility using the line print to identify actions to further increase sales & sell throughs
  • Investigates any stock/allocation anomalies on areas of responsibility
  • Demonstrates an awareness of current brand strategy & the impact on allocations i.e. what themes are being allocated, what styles are being held & why
  • Demonstrates an understanding of how replenishment is calculated and the factors you can amend to increase/decrease replen
  • Is proactive in familiarising self with product across all departments, not just areas of responsibility

Branch Merchandising

  • Direct point of contact for several high profile/turnover stores. Liaising with contact stores weekly to identify opportunities to maximise sales & reduce any areas with markdown risk
  • Undertakes regular analysis & feeds back on branch/dept performance to relevant teams
  • Demonstrates understanding of the store base (i.e. market type/concessions) and their customer profile
  • Demonstrates an understanding of the key reports to use to analyse store performance, how to draw conclusions from these & identify action points
  • Manages opening stock packages for new store openings and modernisations
  • Point of contact for any store closures, liaising with the store, Area Manager & DC to manage stock out of the store <
  • Provides a supportive service to all branches by answering queries from stores & Area Managers
  • Regularly undertakes store visits (including to contact stores) with Area Managers, preparing analysis/key discussion points in advance of the visit. Communicates feedback from the visit & any discussion/action points with the team & relevant parties in a timely manner.
  • Regular re-grading of departments responsible for in advance of the intake to ensure the stock is best placed & we are re-acting into any over/under performances at store level

Reporting

  • Produces Daily Sales reporting at brand level & circulates to the wider business
  • Responsible for completing weekly store based analysis & circulating to the wider business & external concession partners
  • Responsible for producing weekly analysis for contact stores
  • Regular analysis of numerical data, drawing conclusions and making recommendations

We have a fantastic opportunity to join the Warehouse Digital team, as a Digital Trading Manager, to drive the on-going multichannel growth plans.

ABOUT THE ROLE

Merchandising and Trading

  • Planning and reforecasting weekly sales based on e-commerce KPI’s across all own e-commerce and Host website markets
  • Analysing sales, returns, promotional reactions, delivery metrics at department and category level and reacting as necessary
  • Working closely with Finance and Product Merchandising teams
  • Planning and managing e-com stock levels to maintain size availability and minimise terminal stock
  • Reporting on daily and weekly sales performance throughout the company, including Executive level at Trade
  • Trading stock levels to release or increase stock relative to how products are selling across channels

Digital Trading

  • Planning, reforecasting and trading the site based on Digital metrics including visits and conversion, abandonment rates, searches, online reviews, customer navigation etc
  • Working closely with Content team on Emails and Homepage using digital metrics to plan accordingly
  • Managing the merchandising of the site through our online platform Demandware, working closely with the backend systems of the website
  • Oversee the website enabling and sample process, ensuring products are on the site in a timely fashion and that product merchandising is optimised across all categories
  • Summarising lost sales / areas of opportunity and acting accordingly
  • Work closely with the studio on ecomm shoots recommending styling and managing the no of products shot weekly
  • Manage Digital Trading team
  • Work with Head of Digital on web P&L to ensure costs are being controlled in all areas

Operational

  • Analysing all web dispatch metrics, reacting and planning as necessary to trade in the most profitable way.
  • Working closely with Finance and Executives at all stages
  • Working closely with the DC on all delivery metrics - analysing all aspects of delivery to improve customer satisfaction and monitor DC SLA’s

Regional Audit Manager - Oasis & Warehouse

ABOUT THE ROLE

We’re looking for an Audit Manager to join Oasis & Warehouse to assist the Senior Audit Manager in monitoring and maintaining all company data affecting stock systems, store administration and margins. To accurately calculate and report stockloss and compliance standards to laid down procedures for the brand(s) under your jurisdiction. This role will support stores around Birmingham/Midlands, Cambridge, Milton Keynes, Outer London M25 and East Anglia.

KEY RESPONSIBILITIES

  • Ensuring all stocktakes are investigated for administration errors promptly (normally within two weeks)
  • Providing support to the Store Managers during stocktake investigation
  • Being aware of the workload of the audit team including Stocktake Investigations, Incident Reports, E-mail, Security Reports, Concessions Weekly Takings Schedule files and any other information required to successfully complete stocktake investigations
  • Ensuring all attendance details for self and team are maintained on the Security and Audit (SAM) report, or equivalent, where applicable; organising around holidays, sickness, etc.
  • Ensuring the relevant Stocktake and Compliance files are updated on the system and relevant detail forwarded as quickly as possible to Stores, Area Managers and Security
  • Ensuring that Compliance Audit visits are performed in stores
  • Carrying out any other Audit related duties as required by the needs of the business. This may include, for example, conducting investigations into Systems and Distribution Centre procedures
  • Suggesting where improvements may be made to procedures in a) the department b) the stores or c) IT systems
  • Liaising with the IT systems department and Security regarding any data mining issues or till problems

ABOUT YOU

  • IT skills with good experience of Microsoft packages: Excel (to an advanced level), Word and Outlook and any other mainframe stock and cash systems utilised by the company
  • Excellent level of numeracy
